Getting To The Point Of Phone Etiquette

I know that it has a lot to do with my personality, but there is one thing that really annoys me, and I need to vent it in this blog.

Just maybe, by writing this, I can help others to understand how they can show respect to others by showing a little more respect for another’s  time – particularly when it comes to phone etiquette.

When you make a call and are required to leave a message, this is what you shouldn’t do:

‘Hi. It’s so-and-so here. Call me.’

Here is what you should do:

‘Hi. It’s so-and-so here. I’m calling about such-and-such, and when it is convenient could you please either call, text or email me in relation to this matter.’

Now how does that help the recipient of the call? Well, if there is anything, or any information that he or she needs to obtain, in order to answer your request, because you have explained the purpose of your call, they will then be able to prepare themselves effectively and respond intelligently. In fact, it may even mean that the person whom you called can quickly delegate that task to another in the organization, that is far better equipped to answer your request. In fact, what you need done will get done a whole lot faster.

If it’s not convenient for them to call you back, they may be able to respond quickly by email or via text.

Now I know that those who love to talk and talk and talk may find this hard to swallow – but please realise that we’re all busy, and if we can help each other by courteously setting up our communication in such a simple, efficient and effective manner – then we will all become just that much more efficient with our -  simply by getting to the point.
